Legal support services consulting firm Mattern & Associates, LLC announces the successful completion of an outsourcing RFP for Am Law 200 firm, Thompson Coburn LLP, improving the pricing, service levels, and terms and conditions of the Firm’s back office outsourcing and equipment contracts with long term outsourcing partner, Novitex, part of Exela Technologies—achieving an overall savings of 26% for the Firm. Mattern has been engaged to oversee implementation as well as monitor the new agreements reached.
Thompson Coburn leadership had been pleased with its outsourcing provider, Novitex, for many years; however, the Firm wanted to investigate new market offerings and best practices, ensuring its outsourcing services provider was both an optimal fit for the Firm as well as a reliable partner moving into the future as the Firm’s needs evolved.
Mattern performed a complete on-site assessment of Thompson Coburn’s outsourced services and equipment at each of the Firm’s office locations, including a detailed review of the outsourcing service provider’s staffing levels, workflows, processes, and equipment. Based on Mattern’s benchmarks and analysis of Thompson Coburn’s needs, Thompson Coburn and Mattern collaborated to create a uniquely tailored Request for Proposal, which was sent to a field of five participants, including the incumbent, Novitex.
After a thorough RFP and interview process, Thompson Coburn elected to retain its current service provider. The newly negotiated arrangement included improved workflow efficiencies, a new fleet of right-sized MFDs, more favorable non-solicitation and severance clauses as well as effectual untrained staff and staff underage credits, and various financial incentives, and gained an annual savings of 26% for the Firm’s bottom line.
